Questions to ask when selecting a cloud based document management solution
You’ve decided to take a cloud-based approach to storing your files and documents, but with so many options and different providers now available it can be difficult to know which document management system (DMS) is right for you and your business. We have outlined some of the key areas to take into consideration and some questions to assess which provider will be the best one for you.
1.Security
- What security protocols does the provider follow? How does this compare with other providers?
- Where is your data physically located and what contingency measures are in place?
- Who owns your data and can you take a copy of it if needed? What is the process for this?
2. Ease of Use
- Can you trial the software and do you find the interface easy to understand and use?
- What training and support is available from the provider? Is there an additional cost for this?
- Can the software be used on all of your devices?
3. Flexibility and Scalability
- What options are available to profile your data and how flexible are the search options?
- Can you customise the system to suit the way your business works?
- Is there a minimum number of user licenses required and can this be increased and decreased on a monthly or yearly basis?
- Will you be locked into a fixed contract or do you just pay as you go?
4. Cost of Upgrades
- When new features or services are available, what is the process for upgrading your system?
- Are there any additional charges to receive upgrades?
5. Integrations
- Can the DMS integrate with your other frequently used applications?
- How easy is it to file and store emails?
6. Reliability
- What percentage uptime does the provider guarantee?
- Does the provider have their own data centre/s or do they outsource?
- If you are unhappy with the service being provided, can you terminate and either take a copy or receive a copy of your data for no additional cost?
